This policy explains what personal information Wychwood Homes (“we”, “us”) collects when you use wychwoodhomes.co.uk or get in touch with us, what we do with it, and your rights. We aim to collect as little as possible.

What information we collect, and why
When you contact us
If you use the contact form on this website, we collect the details you enter: your name, email address, the subject and your message, plus anything else you choose to tell us. Your enquiry is sent to us by email. We use it only to reply to you and to deal with your enquiry about our homes. The same applies if you email or phone us directly.
Our lawful basis is legitimate interests: it is in our interests, and normally in yours, for us to be able to respond to enquiries.
Website analytics (only if you accept)
If you choose “Accept” on our cookie banner, we use Google Analytics to understand how the website is used (for example which pages are viewed and how people arrive). If you reject or ignore the banner, Google Analytics is not loaded. Our lawful basis is your consent, which you can withdraw at any time using cookie settings. Technical information
Like most websites, our web servers and the security service in front of them automatically record technical information about each visit, such as your IP address, the browser and device you use, the pages requested and the date and time. We use this to keep the website secure, to prevent abuse and to keep it running properly. Our lawful basis is legitimate interests.
Who we share your information with
We do not sell your personal information. We only share it with organisations that help us run the website and our email, who may only use it on our instructions:
- our website hosting provider, which stores the website and its server records;
- our email provider, which holds the mailbox that receives your enquiries;
- Cloudflare, which provides security and performance services for the website;
- Google, for Google Analytics, but only if you have accepted analytics cookies.

We may also share information where the law requires it, for example if requested by a regulator or the police.
Transfers outside the UK
Some of the providers above, including Google and Cloudflare, may process information outside the UK. Where they do, it is protected by safeguards recognised under UK data protection law, such as the UK–US data bridge or approved standard contractual clauses.
How long we keep your information
We keep enquiries only for as long as we need them to deal with your enquiry and for a reasonable period afterwards in case you get back in touch, and for no longer than [TO CONFIRM: retention period, for example 12 months] unless the law requires us to keep them longer. Google Analytics keeps detailed visit data (event data) for 2 months, and the identifiers linked to your browser (user data) for up to 14 months after your last visit. Server records are kept by our providers for short periods under their own schedules.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict how we use your information;
- object to us using your information where we rely on legitimate interests;
- ask for your information in a portable format, where this applies; and
- withdraw your consent at any time, where we rely on consent (for example for analytics cookies).
To use any of these rights, contact us using the details above. We will normally reply within one month. There is no charge, unless a request is clearly unreasonable or repeated.
Complaints
If you are unhappy with how we have handled your information, please tell us first so that we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or by calling 0303 123 1113.
